Organisation: Beacon Foundation
Job Title: Executive Assistant to the Chief Executive Officer
Word Limit: 2 pages
Location: Hobart
In response to your advertisement for an Executive Assistant to support the Chief Executive Officer of the
Beacon Foundation, I would like to submit my application. I am an administration professional, with a
wealth of experience across general administration and executive support, and I am currently pursuing my
Diploma in Business Administration. After reviewing the job description for this position, I am confident I
have the skill set, motivation, and energy required to achieve success in the role.
My current role as an Executive Assistant with the Royal Hobart Hospital sees me providing a range of
administrative and operational support services to the Medical Services team, including the Clinical
Director, Group Manager, and the Assistant Director of Nursing. Supporting staff at this level, requires a
high degree of organisation, exceptional professionalism, and an approach that is in line with and supports
the strategic direction of the organisation at all times. I utilise a range of technological tools on a daily basis,
and as such, I have advanced skills in Microsoft Word, Excel, Outlook, and PowerPoint. Maintaining a
flexible approach to my workday, including working additional hours and weekends where needed, has
enabled me to achieve significant success in my position, by ensuring I meet the needs of the business as
they arise.
In my personal time, I work with young adults and adolescents. I am passionate about creating better
opportunities for our youth, and I am aware of the issues surrounding unemployment, and disengagement.
I have significant involvement with the cricket umpire and scorers association (CUSA), and my local football
association, including having served as the secretary of the CUSA. As part of their community service, I have
taken a number of youth, some of whom were young offenders and others who were young people on the
wrong path, under my wing. I have connected with them, given them opportunities to build skills, work in a
team, and contribute to the sporting community. I am passionate about helping disadvantaged youth to
find a better path and build a future for themselves. A number of those I have helped are now adults with
successful careers, including a few who have remained within the sporting industry, and built positive
professional profiles for themselves. Additionally, I also volunteer for Ronald McDonald House, where I
provide support and assistance to young people in need.
My adaptability and resilience in the face of challenging situations is well developed. With the restructures
currently taking place at the Royal Hobart Hospital, I am experiencing an increased workload, and have
undertaken the additional tasks with professionalism and precision, delivering the same high quality output
I always have. For example, I currently arrange, minute, and follow up on action items for 13 meetings
every month, instead of my previous 6. This task is multifaceted, requiring strong administrative
capabilities, excellent communication and negotiation skills, and solid organisational skills to ensure
accuracy.
In my capacity as an Executive Assistant, I communicate with stakeholders of all levels on a daily basis. My
ability to communicate clearly, using appropriate language, and remaining aware of non-verbal cues, has
allowed me to drive positive outcomes across a range of complex situations, building strong professional
relationships throughout all of my dealings. My interpersonal skills are used when liaising with workshop
presenters, who I work closely with to ensure their presentation will keep to the allocated time, that the
technological tools they require are available, and creating or modifying their PowerPoint presentations
where required. Often presenters are keen to share significant amounts of material however, time
constraints make this impossible. A key aspect of my role is to communicate this respectfully to each
presenter, ensuring they make their presentation in the allocated timeslot, and assisting them to make the
modifications required to do so. Often complimented on my assistance with these matters, I truly enjoy
communicating with this diverse range of individuals.
Throughout my career, I have maintained a consistently organised approach, and I pride myself on my
ability to manage time effectively. Highly focused, I prioritise my own work with such precision that I am
able to slot ad hoc tasks in wherever required. This organised, yet flexible approach enables me to assist
wherever the need arises. Additionally, as an Executive Assistant, I schedule meetings involving a range of
high level staff, as well as managing the diary and calendar for those I am responsible for assisting. I work
methodically, and plan my day, ensuring all tasks are actioned, and all deadlines are adhered. The core of
my professional success is my strong organisational skills.
I am enthusiastic about the work that I do, and I have an energetic and positive approach to every workday.
Customer-centric in my outlook, I see stakeholders as my clients, and I am serious about my role to ensure I
meet their needs. I am a can-do type of person, revelling in my ability to assist people in a range of ways,
within the professional environment, and contributing to team, and organisational goals wherever possible.
While I enjoy and work well in a team environment, I am equally confident in delivering results
autonomously, an attribute that enables me to achieve positive results. My current role with the Royal
Hobart Hospital, sees me work closely with the three senior staff I support, managing all of their
administrative needs, as well as with staff from other areas of the hospital, and other organisations as
required. Additionally, I have often been required to train in-coming Executive Assistants to ensure they are
able to provide a high level of administrative support, and adapt to the use of the Royal Hobart Hospital
internal systems, policies, and procedures.
As the Executive Assistant to three senior staff members at the Royal Hobart Hospital, one of whom has
some 500 direct and indirect reporting employees, I am experienced in, and confident liaising with key
stakeholders of all levels to deliver the required outcomes. My role requires flexible communication, the
upmost discretion, and the capacity to connect with, and influence a range of people, including CEO’s,
Government employees, and clinical staff.
The Beacon Foundation’s core values are in alignment with my own, on both personal and professional
levels. I am excited to pursue an opportunity within an organisation that does fantastic work with youth,
and I am confident I can make a strong contribution with my professional skill set, and my personal passion
for helping our youth be the best they can be. As someone who lacked educational opportunities as an
adolescent, but has gone on to engage in on-going learning as an adult, I am passionate about education
and the opportunities it provides.
I hold both a current drivers licence and a National Police Check. Thank you for your time and effort in
considering my application.
