Organisation: Tambrey Primary School Department of Education
Job Title: Registrar
Word Limit: 2 pages total
Location: Tambrey, WA
Demonstrated well developed oral, written and interpersonal communication skills and the ability to use effective
negotiation skills.
I have excellent interpersonal skills and am able to communicate confidently and clearly both verbally and in writing. I
liaise with a range of staff across the school and externally, including the Principal, Deputy Principals, Teachers,
Education Assistants, Aboriginal and Islander Education Officers (AIEOs), other office staff, parents and students, to
undertake a range of duties and ensure I am providing a quality service. I offer advice to parents, focusing on providing
them with the information they need and making sure they understand, and are satisfied with that information. With
regard to Principles and the Deputies, I provide quality support and assistance and need strong communication skills to
ensure that the work I do meets their requirements. I have also worked with Teachers to coordinate the placement of
support staff. This incorporates negotiating with individual Teachers and across the education team to ensure that the
best mix of support is allocated. As a Special Needs Education Assistant I worked closely with students, parents, teachers
and Psychologists to ensure the wellbeing of students and to provide the best possible learning environment for them.
My role also includes liaising with stakeholders that are external to the school. I communicate regularly with contract
staff, such as the cleaners and maintenance employees, to ensure that the highest standard of service is delivered to the
school. In addition to this I communicate with regional staff with regards to things such as critical incidents at the
school. In these circumstances I need to convey information in a calm and professional manner. Similarly, I have
contacted the local police to report incidents of vandalism or unauthorised entry to the school.
Throughout my career I have demonstrated excellent written communication skills, preparing a wide range of clear and
concise letters, reports and other documentation as required. In my current role I prepare the fortnightly newsletter,
collating information from various staff members, including appropriate pictures and images, and formatting and editing
the document prior to publication. As this document is circulated to the entire school community it is extremely
important that it is accurate, clear, and easy to read. I also communicate regularly via email, providing information to
teachers and other internal staff, liaising with regional staff, and corresponding with the parents of current and
prospective students. In particular, I provide a great deal of information to parents concerning enrolment procedures,
once again ensuring that the information is accurate, clear, concise and tailored to meet their individual needs. I am a
friendly and calm communicator with a sincere interest in providing the best possible assistance I can to all my clients,
including fostering a relaxed and welcoming environment for all students.
2. Demonstrated sound financial management skills, including budget preparation and the ability to interpret and
apply financial and accounting practices and procedures.
I have sound financial management skills, with broad experience in providing a range of financial services within the
education sector. My experience includes the billing and receipting of all fees on Integris (the school’s information
management system), balancing all monies received, receiving money from parents for various items and ensuring the
security of collected cash at end of day, and banking. I have also liaised with the Registrar with regard to the purchase of
equipment and reviewing budget allocations to determine if the expenditure could be approved. During my
employment with the school I have also gained an understanding of the administration and reporting requirements
related to the various funding sources the school relies on. I have liaised with various Aboriginal Corporations with
regard to specific financial entitlements for students, consulting with them in relation to particular costs and ensuring all
reporting requirements were followed to access funds correctly. I recently completed a two day billing course which
enhanced my financial management skills and my knowledge of the various policies, procedures and practices that are
relevant to the school’s finances. The course covered the reasons for these types of documents (to ensure sound
financial practices and transparent handling of public monies) as well as how these translate into specific practices to
ensure these principles are upheld.
3. Demonstrated sound human resource management skills, including the ability to develop and/or apply human
resource management practices and systems.
I have undertaken a wide range of human resource (HR) duties within the school and have a proven ability to apply
various HR practices and systems to my duties. When I acted in the role of Registrar I had line management
responsibilities for 15 staff members, including Education Assistants, School Officers and AIEOs. My duties incorporated
the placement and rostering of all these staff, ensuring the best use of all staffing resources and the most effective
placement of individual employees with specific teachers. In this position I also organised relief staff, communicating
effectively with the schools education team and casual staff to ensure the best result for students. I have experience in
preparing employment contracts for employees and managing staff leave entitlements, entering all leave applications
into the HR Management Information System and ensuring requests are made in accordance with relevant awards and
policies. I have also participated on a number of selection panels which provided me with an understanding of the
required recruitment and selection processes within the Department of Education. I gained skill in being able to assess
various applicants, compare their relative merits and determine the most suitable applicant for the role. The processes the panel undertook were made in compliance with the relevant recruitment and selection policy and procedures. We
adhered to the principles of this document and ensured that we selected the most meritorious applicant. I have also
developed a collaborative relationship with the regional HR staff and liaise with them if I require information or
clarification regarding any HR matters. It is also relevant that I was employed as a Personnel Officer at the Nickol Bay
Hospital. In this role I prepared contracts of employment, managed leave entitlements and applications, prepared and
distributed payslips to employees and undertook a range of personnel records management duties.
4. Demonstrated leadership skills in the delivery of business outcomes and sound customer service principles and
practices.
During my career I have needed to demonstrate strong leadership skills to undertake my job effectively. As acting
Registrar I had to supervise a total of 15, coordinating all their activities and ensuring they provided an excellent level of
service to teachers, parents, students and other members of the school community. To ensure this level of quality
support was delivered, I managed the roster, coordinated staff placement, identified skill requirements, participated in
selection processes, undertook induction and coaching if required, and managed staff performance. I also needed to
resolve any conflicts or issues that arose, working closely with appropriate staff to resolve problems and obtain a
positive outcome. Another way I demonstrate leadership is having a continuous focus on seeking to improve procedures
and processes, making them more effective and efficient in order to improve business outcomes. For example, I
established a communication book with the cleaning contractors to ensure that that any issues arising were dealt with
promptly and there was an accurate record of requests and resolutions. I was also instrumental in the implementation
of an eftpos machine in the office to facilitate ease of payment for parents in relation to various school fees.
I have excellent customer service skills and always strive to provide a professional, courteous and respectful service. My
current role requires the delivery of quality support to the school education team, regional staff, parents, students and
other stakeholders in the school community. In particular I provide exceptional client service to parents, both
responding to and anticipating their needs. As the parents of new students are often new to the area this can include
providing them with a wide range of information relating to community facilities and activities. My goal is to provide a
welcoming environment and a helpful service to all my clients.
5. Demonstrated ability to provide input into the development, implementation and monitoring of business and
marketing plans.
I have an excellent knowledge of the operations and administrative processes within the school and have developed a
sound understanding of its business and marketing processes. As the acting Registrar I gained knowledge of managing
and coordinating a wide range of staffing resources. I also have an understanding of various financial matters relevant
to business planning within the school and have liaised with funding providers in relation to student entitlements and
reporting requirements. I also have an understanding of the process of business planning and the goal of the school to
be a place of quality learning in the community. To achieve this, the school needs to seek input from a variety of
stakeholders to determine the business outcomes it seeks and the required and available resources needed to achieve
these. This can include staff, equipment, facilities as well as a range of other resources that contribute to a strong school
environment. I understand the need for all these types of resources and I have developed excellent relationships with
all the stakeholders that are involved in business and marketing planning. I also have proven experience (through the
preparation of the school newsletter) in being able to collate information from various sources to create an integrated
document. I also have experience in marketing the school on an individual basis. I have lived in the area for 24 years and
have extensive knowledge of the local community, its facilities, community activities and social events. I have strong
skills in promoting the school to the parents of prospective students, highlighting the benefits of the school, providing
information on school programs and positively responding to a wide range of questions relating to the local community
environment.
6. Demonstrated sound conceptual, analytical and problem solving skills.
I am a creative and innovative employee who can analyse issues that arise and identify opportunities to improve
processes and procedures to increase efficiency and enhance services. For example, I realised that the process for the
voluntary contribution scheme (where parents are requested to pay $60 every year to assist with various education and
administration costs) was not very effective. Previously parents were given a printed envelope to place the contribution
in which resulted in only a 29% payment rate. I introduced a new system of billing each parent, issuing them with an
individual printed statement that included the credit card facility on it. This has increased the return rate and generated
additional funds for the school. As mentioned previously, I also implemented the installation of an eftpos machine for
the school and established a communication book with contract staff to ensure follow up on any cleaning issues.
